Per USATF Regulation 23, event directors should apply for a USATF sanction at least thirty days in advance of the event. Late fees may be assessed for any sanction applications received less than thirty days in advance of such event. The Sanction late fee is only applied to the National Sanction fee.
USATF can provide third-party certificates of insurance free of charge, with the exception of any late fee that may be assessed. Late fees may be assessed for any third-party insurance certificate requests received less than eight days in advance of such event.
Cancellations will be permitted until the date of the sanctioned event. Any cancellations on the day of the event will only be honored if due to inclement weather or at USATF’s sole discretion. All cancellations are subject to a 10% administrative fee of the total sanction fees initially charged.
The USATF national fee for all sanctioned events that elect to waive USATF liability insurance will be 25% of the National sanction fee, not to exceed a total charge of $1,000. The association fee will remain unchanged provided the fee does not exceed 2/3 of the national fee charged.
To qualify as a series event, several criteria must be met:
An event director should ONLY select a series if their events meet ALL of the criteria listed above. The price of a series will be determined by the total number of participants across the entire series, not each individual event. Total participants should be calculated based on the number of participants in each day of events (even if there are duplicate participants between the various days of competition).
Payment for a USATF sanction can be made either via major credit card within the Connect system or via ACH with a Sanctions department representative. Credit card payments: Once an event has provided all the required information for a sanction, they can submit their sanction to review the total fee in their cart. The total fee will include the sanction fee based on the projected number of participants, any late fees associated with the date the application is submitted, and a credit card processing fee (which will be 4% of the total sanction fee). All major credit cards are accepted.
ACH Payments: Once an event organizer has provided all the required information for a sanction within the Connect system, they should reach out to the Sanctions department at sanctions@usatf.org or 317-716-9617 for further steps on submitting an ACH payment. Event organizers should be aware that ACH payments may take 3-5 business days to process. A hold will be put on your sanction until the funds have been released from the bank. ACH payments will NOT incur a 4% credit card processing fee.
