Executive Board meeting started at approximately 7:25 as George Harris requested an update from Barbara Smith (Treasurer).

 

 

Question asked of Nichols regarding membership.  There are approximately 875 old and of that figure 481 were over 18 years of age.

Henry McCallum - Youth

 

            Coach Henry provided a summary of the Indoor Season.  He indicated that the indoor season was very successful;  PVA 14 and under  meet was successful and they raised over $2,000.  He indicated that they were getting ready for the outdoor season. 

 

            G. Harris raised they question as to what is the situation with Baltimore.  B. Smith spoke on email she received regarding Baltimore’s club status.  Questions raised as to how PVA will get the Baltimore Recreation group into the program (registered as team); Alma Price suggested that we vote to keep Baltimore Rec involved;

 

            Also discussed was the status of High School athletes and regional qualifying meet;  it was mentioned that the high school athletes must perform in Raleigh and must be registered in the 1st round in order to qualify for the mismeet (Regional qualifying meet)

 

George Harris - Executive Board Business

 

Harris indicated that the first issue is to file grievance with Nationals.  Grievance is being filed as a result that National damaged PVA last year as a result we lost approximately $100,000.00;  we are assessing a liability of approximately $80,000.00 from damaged sponsorship as a result of National’s actions towards PVA last year.  PVA is filing a grievance with Nationals and is requesting $200,000.00 in damages to cover loss that this association incurred because of the action taken by Nationals. 

 

Additional grievance being filed at national with respect to a particular athletes membership and procedures by other associations to override membership. 

 

 

2004  Youth Nationals (Baltimore – Morgan State University)

 

 

Committee Update:

 

Facility - Quinton

 

Throwing area has been surveyed; schedule to be finalized after national’s visit (meeting with national’s upcoming Thursday); skeptical on discuss cage; concern with field (small drain in field); Javelin runway placed in; pole vault box will not be switched

 

Officials – Bill Price

 

Have received 50 officials application outside of the association; less than 50 within the association; PVA card carrying officials requested to participate in meet; associate officials requested to donate 2 days to national meet.  G. Harris stressed PVA officials need to participate if they would like to receive invitation for other PVA meets;  Harris indicated that the goal is to get at least 100 officials from outside and 100 officials from our association (PVA);  arrangements for 100 folks to say over.  There are 100 rooms on site at the dorms; 2 meals arrange from cafeteria for officials Harris also indicated that officials must wear national shit while on the field;  Rules have changed so you must where the shirt while on the field.  The budget for meet officials is $50 1st day and $50 for the second day.  Also budgeted for 300 shirts.  Admin and volunteers are treated different;   Marriott will be given discounts on hotel accommodations

Expects approximately 4,500 to 5,000 participants at meet. 

 

Volunteers – Madupe

 

Email has been sent to Department of Community Services at Morgan State regarding volunteers; asking that volunteers log in to website for more information; plans are underway to develop a form for clubs to ask college bound students to volunteer; also in process of contacting Jr. Marines to volunteer; approximately 75 volunteers are need per day; will be submitted request for volunteer T-Shirts and credentials; plans are underway to email high schools to see if students need earn community volunteer hours

 

Harris posed volunteer question – Where is the volunteer staging area – need to have home base to meet.

 

 

Carts

 

At least 10 golf carts are being requested and they need at least 6;  questions raised as to whether the carts will be donated for event or what the cost would be.

Olympic Village – Alma Price

 

Water and sport drinks have been donated; a volunteer doctors will be available as well s an ambulance provided;  Disks sporting goods is donating a dozen 12 x 12 blue tents; Dicks will also be given gift certificates to youngsters;  A. Price will contact Wal-Mart, Lowe’s, Home Depot regarding donations for meet;  Action Sport Images photography has submitted proposal to be meet photographer

 

Additional support with respect to doctors and ambulance services was updated was provided by Felix Rodgers

 

Tax ID needed; verification of 501C; Townson State Sports medicine could provide services; need national office to draft proposal for trainers; ability to provide 1st aid and medical support with minimum of 10 doctors and ambulance coverage
